SOP — Security Camera Policy & Procedures

Owner: GM. Review: annually. VooDoo Hut, LLC · 511 Bradford Avenue, Kemah TX 77565.

Purpose and control

Recorded video is used exclusively for the investigation of security and safety incidents — no other purposes. VooDoo Hut manages the video surveillance system and has exclusive control of the release of recordings, unless presented with a court-authorized warrant or subpoena.

Incident preservation

When a security incident occurs, employees report it to the Manager on Duty. If the event occurred in a covered area, the MOD preserves video during, prior to, and after the incident. If the timing is unclear, the MOD preserves the entire 24 hours. The Operations General Manager uses the preserved video to investigate and make appropriate copies.

Release rules

  • General public: requests to provide recordings directly to customers, employees, tenants, neighbors, or the public are not accommodated.
  • Law enforcement: police contact the Operations General Manager. Without a warrant or subpoena, surveillance review is restricted to off-peak business hours, 9:00 a.m.– 5:00 p.m. Monday–Thursday. If relevant video exists, a permanent clip is produced and made available to police within 3–5 days.
  • Attorney Letters of Preservation: upon receipt, the MOD preserves the requested footage immediately. If no longer available, an affidavit is provided explaining why.

Retention

Video Retention
Routine recording 14–21 days, then overwritten
Incident/event clips management is aware of permanent clip, 3 years
Potential evidence in civil/criminal proceedings indefinitely

Cameras in guest areas record video only — no audio (confirmed 2026-07-11). If audio capability is ever enabled anywhere guests or staff converse, review wiretap/consent law with counsel first (see COMPLIANCE_REVIEW_2026.md).
